Data we collect

Account data: email address, and your name if you sign in with Google.

Receipt data you choose to save: shop name, shop city and address printed on the receipt, date, totals, VAT and individual product lines.

Subscription data: plan status and billing records handled by Stripe. Card details are processed by Stripe only.

Technical data: basic logs needed to keep the service secure and working. We use a CAPTCHA (Cloudflare Turnstile) to block automated sign-ups.

How receipts are read

Receipt images are processed to extract text. Images may be sent to Google's Gemini service solely to read the receipt and categorise products; they are not used by us for any other purpose. A built-in on-device OCR engine is used as a fallback.

Nothing is saved to your account until you review and confirm it.

Why we use your data (legal basis)

To provide the service you signed up for (performance of a contract).

To keep the service secure and prevent abuse (legitimate interest).

To meet tax and accounting obligations for payments (legal obligation).

Community price data

When a saved receipt includes a city, product prices may be added to an anonymous price index (product, shop, city, price, date). It contains no name, email or receipt image, and a price is only shown once at least two different people have recorded it.

Sharing

We never sell your data. We share it only with service providers needed to run the app: our hosting and database provider, Stripe (payments), Google (receipt reading and optional Google sign-in) and Cloudflare (CAPTCHA). Some providers may process data outside the EU under standard contractual clauses.

Retention

Your receipts are kept until you delete them or close your account. Billing records are kept as long as required by law.

Your rights

You can access, correct, export or delete your data, object to or restrict processing, and withdraw consent at any time by writing to support@costmanager.online. You also have the right to complain to your local data protection authority.

Security

Data is transmitted over HTTPS and stored with access rules that let each account read only its own receipts.
